How to Collect Student and Employee Data with Photos for ID Cards

A practical guide to using a mobile data-collection form for school admissions, employee onboarding and event credentials—keeping names, IDs and photos in one ID card project.

Stop Matching Names and Photos After the Shoot

For a school admission drive or employee onboarding batch, collecting names in one place and taking photos in another creates a predictable problem: matching the right face to the right row later. That manual step wastes time and can lead to costly wrong-photo ID cards.

Use One Form for the Entire Record

IDSnapper's Data Collection workflow lets you build a simple form before the session. Add the fields your project needs—name, admission number, class, department, phone number or any custom text field—then add one or more photo fields. Each submitted record creates one spreadsheet row and stores the related image filename in the same project.

This is useful for:

  • Schools: student name, class, roll number and portrait during admissions.
  • Businesses: employee ID, department, designation and badge photo during onboarding.
  • Events: attendee details and credential photo at registration.

Continue the Same Collection on Another Day

Large batches are rarely completed in one sitting. The Data Collection opening screen lists saved collection folders, so you can select the correct project and tap Continue. The existing workbook and photo folder stay together, which means day-two records are added to the same job rather than scattered across duplicate files.

Move Straight from Collection to Card Generation

Each saved collection also provides Generate ID Cards. It opens the generator with the collection workbook and matching photo folder preselected. Map fields to your card template, preview a record and export the print-ready PDF—without re-importing files or searching for photos.

Step-by-Step: Set Up a Photo Data Collection Form

  1. Open Data Collection from IDSnapper's Data tools.
  2. Tap Create new collection and name the project after the school, company or event.
  3. Add the information fields needed on the card. A school form might use Student Name, Admission Number, Class and Section; an employee form might use Name, Employee ID, Department and Designation.
  4. Add a Photo field. If you need separate front and document photos, add more than one photo field.
  5. Choose a clear reference prefix or folder name, then start collecting records.
  6. Capture the person, check the entered details and submit the record before moving to the next person.

After every submission, IDSnapper keeps a live Excel copy inside the project. That gives the operator a practical recovery point if a session pauses unexpectedly.

Common Data-Collection Mistakes to Avoid

The most common issue is creating a new form on day two instead of reopening the saved collection. That splits one client job into multiple workbooks. Always use the saved project card when returning to an unfinished batch. Also avoid using a non-unique reference such as only a first name; admission number, roll number or employee ID makes a better permanent photo reference.

Before beginning a large session, test one complete record and open it in the ID Card Generator. This confirms that field names fit the intended card template and that the photo column is recognised correctly.

Frequently Asked Questions

Can I add more records to a saved ID card collection?

Yes. Open the saved Data Collection folder and tap Continue. New records are appended to the same workbook and use the same project photo folder.

Can I use my collected data for ID card printing?

Yes. Tap Generate ID Cards from the saved collection. The generator opens with that collection's Excel file and photos already selected, ready for template mapping and PDF export.

Is Data Collection better than an Excel roster?

Use Data Collection when you are collecting details from scratch. Use Excel Photography when the school or HR department already supplies a usable .xlsx roster.

A Reliable Collection Checklist

  1. Create a form with only the fields the card actually needs.
  2. Give the project a clear batch or organisation name.
  3. Confirm each record before submission so the spreadsheet stays clean.
  4. Resume the same saved project for absentees or multi-day sessions.
  5. Use Generate ID Cards from the finished project to keep data and images linked.

The Bottom Line
